What to Put on Your Company Letterhead, Websites and Emails

Check that company correspondence and online information identify the business clearly and correctly.

Customers and suppliers should be able to identify the legal business they are dealing with. Use the company’s full registered name and check the required disclosures when preparing stationery, email templates and website information.

Business letters, order forms and websites

The key company details include:

  • The registered company name.
  • The company registration number.
  • The registered office address.
  • The part of the UK in which the company is registered.
  • Its limited-company status, where applicable.

Make these details easy to find and keep them consistent across printed and electronic versions. Email signatures are a practical place for the disclosures needed on business correspondence.

Names, invoices and other documents

Use the company name on invoices and other business documents. VAT-registered businesses also need to meet the applicable VAT invoice requirements.

You do not normally need to name directors on business letters. If you choose to name them, the rule is to include all of them.

Review any additional information required by your trade or regulated profession.

Signs at premises

Company-name display rules apply to registered offices and business premises, with exceptions including where the business is run from home. Check the official guidance for your situation before ordering signs.

Online sales need a wider review

Company-identification details are only part of the information needed when selling online. Contact details, descriptions, pricing and relevant terms also need attention.

Do not assume that adding a company number to a website settles all consumer or trading requirements. Obtain advice on the information needed for the particular goods, services and customers involved.

Review templates when the company changes its name, registered office or other details, so old information does not continue circulating.
